02What data we process
Data you send us. When you use the forms on this website you give us:
- "Contact" form: full name, email, phone (optional), subject, message and, if you wish, the areas of Rome you are interested in.
- "Own a private space?" form: full name, email, phone (optional), address of the property and description of the space.
- WhatsApp: if you choose to message us on WhatsApp, we receive your number, profile name and the messages you send.
Please do not include special categories of data (for example health data) or other people's data in your messages.
Anti-bot check. When you start filling in a form, the website activates Google reCAPTCHA v3, which checks without asking you anything whether the sender is a person. To do so, Google receives technical data such as your IP address, browser type and how you interact with the page. If you do not touch the forms, reCAPTCHA is not loaded.
Browsing data. Like any website, the server that hosts it automatically records some technical data about visits (IP address, date and time, requested page, browser type). It is used only to run the website and protect it from abuse: we do not use it to identify or profile you.
03Purposes and legal bases
- Answering your requests for information, quotes or the assessment of a space, and handling any next steps. Legal basis: pre-contractual measures taken at your request (art. 6.1.b GDPR).
- Running and protecting the website from misuse, including automated messages sent by bots through the forms (Google reCAPTCHA check). Legal basis: our legitimate interest in the security of the website (art. 6.1.f GDPR).
- Complying with legal obligations, for example tax obligations, if a business relationship follows. Legal basis: legal obligation (art. 6.1.c GDPR).
We do not use your data for newsletters or marketing, we do not sell it or pass it to third parties for their own purposes, and we do not carry out profiling.
04Providing your data
Fields marked with an asterisk are needed to answer you: without them we cannot handle the request. The other fields are optional. The "I have read the Privacy Policy" box confirms that you have seen this policy.
05Who can access the data
Your data is read only by Ital Media staff authorised to handle requests. It may also be processed, on our behalf and only for the purposes above, by the technical providers we use, appointed as data processors:
- Aruba S.p.A. (Italy), for website hosting and the mailbox that receives form messages;
- Vimeo, for playing the video on the home page (see the Cookies section);
- Google Ireland Ltd., for the anti-bot check of the forms with reCAPTCHA. Google also processes this data under its own privacy policy and terms.
If you message us on WhatsApp, the service is provided by WhatsApp Ireland Ltd. (Meta group) under its own terms and privacy policy. Data is never disclosed to the public.
06Transfers outside the EU
Form data stays in Italy. Loading the Vimeo video, Google's reCAPTCHA check and using WhatsApp may involve transferring some technical data to the United States: in these cases the providers rely on the EU-US Data Privacy Framework or on the standard contractual clauses approved by the European Commission.
07How long we keep it
- Contact requests (forms and WhatsApp): for as long as needed to handle them and then for up to 24 months from the last contact, unless a business relationship follows.
- If you become a client: data needed for contractual and tax records is kept for 10 years, as required by law.
- Browsing data: for the period set by the hosting provider for security purposes, normally no longer than 12 months.
08Cookies and similar technologies
This website uses no profiling, advertising or analytics cookies. That is why we do not ask for any consent.
- Technical browser storage: the website saves two simple flags in your browser (localStorage), itm-ck (you closed the cookie notice) and itm-wa-hint (you have already seen the WhatsApp button hint), so that the same notices are not shown at every visit. They contain no personal data, are not sent to anyone and can be deleted from your browser settings.
- Vimeo video: the home page video is loaded only when you reach that section, in "Do Not Track" mode (dnt=1 parameter), which according to Vimeo stops the player from using cookies and collecting session statistics. To show you the video, Vimeo still receives technical data such as your IP address. Vimeo's privacy policy: vimeo.com/privacy.
- Google reCAPTCHA: it is loaded only when you start filling in a form and is used solely to block messages sent by bots. It may use a technical security cookie (_GRECAPTCHA) and browser data. We do not use it for statistics or advertising.
- Fonts and map: fonts and the map data of the Municipi are hosted on our own website, with no connection to external services such as Google Fonts.
- External links: the Instagram, LinkedIn, Vimeo and WhatsApp buttons are plain links; those services process data only if you open them.
09Security
The website uses an encrypted connection (HTTPS). Form messages are not stored on the website: they are sent directly to our mailbox over an encrypted connection. We adopt appropriate technical and organisational measures to protect data from unauthorised access, loss or misuse.
10Your rights
At any time you can ask us (arts. 15–22 GDPR):
- to access your data and receive a copy;
- to correct or complete it;
- to delete it;
- to restrict its processing;
- to receive it in a readable format (portability);
- to object to processing based on our legitimate interest.
Just write to spazi@affissioni-italmedia.it: we answer free of charge within one month. If you believe the processing is not correct, you can also lodge a complaint with the Italian Data Protection Authority (www.garanteprivacy.it).
11Minors
The website is aimed at companies and property owners and is not intended for children under 14. We do not knowingly collect their data: if you think a minor has sent us personal data, write to us and we will delete it.
12Changes to this policy
We may update this policy if the website or the law changes. The date of the last update is shown at the top of the page.
